Position Summary
enFocus is a nonprofit organization that promotes economic development in the South Bend-Elkhart region. We do this by attracting talent to our Fellowship and internship programs and placing them on impactful projects for regional sponsors in the private, public, and social sectors.

As we continue to grow our enFocus Fellowship and internship programs, we are seeking a Program Coordinator with strong organizational skills and a passion for innovation and community development to take on a key team role. As Program Coordinator, you will report directly to the Director of Programs, and will be the backbone of key operations, including office management, scheduling, recruiting, event management, and orientation. We are looking for an energetic problem-solver who can own enFocus operational activities. A successful Program Coordinator will support a world-class Fellowship and internship experience for our talent, while helping to ensure our internal operations run smoothly.

 

Responsibilities:

  • Oversee day-to-day operations for enFocus teams including:
    •  office management, 
      • Scheduling team meetings and orientation activities
      • Assisting with onboarding new staff (coordinating headshots, key fob access, ordering business cards, apparel, etc)
      • Assisting with stipend reimbursements
      • Routing calls, mail, and messages
      • Maintaining office inventory and ordering supplies
    • Recruitment
      • Representing enFocus at in-person and virtual recruiting events
      • Career fair management - registering for events, scheduling team members to attend, distributing information and materials to the team for events, managing the recruitment events calendar
      • Assisting with screening applicants
      • Scheduling applicant interviews
      • Preparing reports on candidate progress and outcomes
    • event support
      • Assist with scheduling team and special events
      • Order/pick-up food for events
      • Assist with day of event coordination including registering attendees, set-up and tear-down
  • Proactively anticipate office needs for all office locations and manage the procurement of office supplies.
  • Act as the point for enFocus internal communications, including employee calendar management and team events, and response to external inquiries.
  • Coordinate the scheduling and execution of enFocus recruitment and community events to make sure we continue to attract top-level talent and community support.
  • Assist with human resource activities, including scheduling interviews, scheduling new employee orientation, attending recruiting events, and ensuring the completion of required employee documentation.
  • Complete special projects as requested by the enFocus Leadership Team to improve operations.

Requirements:

  • Bachelor’s degree in a relevant field
  • Organized and detail-oriented with a passion for operational improvement
  • Excellent time management and communication skills
  • Ability to thrive in a fast-paced, entrepreneurial environment while working independently
  • Proficient in Google Workspace and Applications Suite and able to learn new technologies quickly

Exceptional candidates will have:

  • 1-2 years professional experience in a business operations role
  • Experience working with sensitive and confidential information
  • Experience with Quickbooks and/or bookkeeping
  • Experience with recruiting pipeline management (CRM) and applicant tracking systems
  • Interest and/or experience with startups and entrepreneurs

Job Type
Full-time, permanent position. Salaried, non-exempt.

Location
enFocus staff are expected to be located in the South Bend-Elkhart region to work in-person at enFocus offices in South Bend and Elkhart, Indiana, or Niles, Michigan, and on-site at community sponsors; however, staff will also have the flexibility to work remotely on occasion.
